Cancellation Policy

Heart-Mind Wellness Retreats are catered to a small group of attendees, to allow for a more engaging, intimate, and personable experience. We understand that plans can change unexpectedly. Our cancellation policy is in place to help you and us alike work together in sharing expenses that may arise from unexpected cancellations and is designed to be fair to both participants and our organization, ensuring a smooth experience for all involved. Please read the following cancellation policy carefully before making your reservation. All cancellation requests must be submitted in writing.

The full amount of the retreat or course is due upon reservation unless otherwise informed in writing for group bookings. If you wish to withdraw from any retreat or course, cancelation fees will apply.  We will hold a 30% non-refundable deposit for re-listing, which is transferable to another new attendee found and assigned by the original attendee. 

  1. Cancellation Timeframes:


1.1 Early Cancellation: If you decide to cancel your reservation more than 60 days before the retreat start date, you will be eligible for a full refund of the retreat fee. This excludes the
30% non-refundable deposit.

1.2. Standard Cancellation: For cancellations made between 30 to 59 days before the retreat start date, a refund of 50% of the retreat fee will be provided.

1.3. Late Cancellation: Cancellations made within 29 days of the retreat start date will not be eligible for a refund. 

  1. Refund Process:


2.1. All cancellation requests must be submitted in writing to Heart-Mind Wellness at
hello.heartmindwellness@gmail.com 

2.2. Refunds will be issued using the same method as the original payment. Please allow up to 14 business days for the refund to be processed. 

  1. Transfer of Reservation:


3.1. If you are unable to attend the retreat, you may transfer your reservation to another individual. The
30% non-refundable deposit for re-listing will be transferred to the new attendee found and assigned by you.

3.2. The transfer request must be submitted in writing at least 14 days before the retreat start date. The new participant must meet all eligibility requirements and agree to our terms and conditions.

  1. No-Show and Early Departure:


4.1. No refunds will be provided for participants who do not show up for the retreat (no-show).

4.2. Participants who choose to depart the retreat early will not be eligible for a refund. 

  1. Retreat Cancellation by Heart-Mind Wellness:

 

5.1. In the unlikely event that Heart-Mind Wellness needs to cancel the retreat due to unforeseen circumstances, participants will receive a full refund of the retreat fee. We are not responsible for any additional personal expenses, such as airline tickets incurred by participants in such cases.

  1. Travel and Accommodation Expenses:

 

6.1. Heart-Mind Wellness is not responsible for any travel, accommodation, or other expenses incurred by participants in the event of a cancellation, regardless of the reason.

  1. Changes to Itinerary:


7.1. While we strive to adhere to the advertised retreat itinerary, Heart-Mind Wellness reserves the right to make changes, including adjustments to the schedule, activities, and facilitators, as necessary. Participants will be notified of any significant changes.

By making a reservation and participating in our wellness and mindfulness retreat or courses, you acknowledge that you have read, understood, and agreed to the terms and conditions outlined in this cancellation policy.
